The VAC Fee Proposal Process

Our fee proposal process is designed to be clear, efficient, and technically robust, ensuring that each project is accurately scoped before services commence. This approach allows us to provide considered advice, align expectations early, and deliver proposals that reflect the true complexity and requirements of each engagement.

The process begins with the submission of project information. Clients are invited to provide relevant documentation via email, including architectural drawings, survey information, planning or council approvals, and any supporting photographs. This information forms the foundation of our preliminary assessment and enables our consultants to understand the project context, scale, and regulatory environment.

Upon receipt, we acknowledge the submission and undertake an initial technical review. This review is not a full assessment but a structured appraisal of the documentation provided, allowing us to identify the applicable codes, standards, and approval pathways relevant to the project. Where necessary, we confirm assumptions, clarify project objectives, and identify any gaps in the information that may affect the scope of services. This step ensures that the proposed scope is appropriately defined and that the services offered are both relevant and proportionate.

Following this review, we confirm the scope of services with the client. This may include access assessments, design reviews, performance-based solutions, advisory services, or certification support, depending on the nature of the project. Where additional information is required to accurately define the scope, we will request this prior to issuing a proposal. This step helps avoid variations and ensures transparency from the outset.

A written fee proposal is then prepared and issued. The proposal clearly outlines the scope of services, assumptions, deliverables, exclusions, and fees, providing clients with a clear understanding of what is included. While our aim is to issue fee proposals within 48 hours, larger or more complex projects may require additional time to ensure the proposal accurately reflects the project requirements and regulatory considerations.

This structured process ensures that each proposal is tailored, technically sound, and aligned with both client expectations and statutory obligations, supporting informed decision-making and efficient project delivery.
